Privacy notice (pilot draft)
Draft for review by the owner before public launch. It describes what the Oxrowing pilot stores and why.
What we store
- Account: name, email address and sign-in records.
- Club membership: your roles, crews, session replies, bookings, race-day availability and attendance recorded by staff.
- Small verified records your club needs to run outings safely, such as swim-test status, with who verified them. We do not keep general medical records.
- Private coaching notes, visible only to coaching staff.
- An audit trail of changes made by club staff.
Who can see it
Only approved members of your club, according to their club permissions. People waiting for approval cannot see rosters, contact details or schedules. Clubs cannot see each other’s data.
We send operational messages (invitations, session requests, changes, confirmations, cancellations) and optional routine club announcements. Each email is sent individually; your address is not shared with other recipients. You can turn routine emails off.
Retention and corrections
Club history (sessions and attendance) is kept so that records stay accurate across terms. When someone leaves, their access ends and future places are released; ask your club to correct inaccurate records, or to remove personal details that are no longer needed.
